Contact form and email enquiries

When you send an enquiry through our contact form, we collect your first and last name, email address, company name (if you provide it), the service you select and your message. The form sends this information to our business email inbox. We receive the same kinds of information when you email, telephone or message us directly.

Client services

When we provide vehicle verification, documentation or consultancy services, we receive the contact details of our clients’ staff and the documents needed for the work, such as vehicle registration and specification documents. Clients who use our online client database also have a user account with us.

Server logs

Like most websites, our web server automatically records technical information about each visit, including your IP address, browser type, the pages requested and the date and time.

Cookies

This website does not use analytics, advertising or tracking cookies. We use only cookies that are strictly necessary for the site to work:

• When you submit the contact form, a session cookie is set to prevent repeated automated submissions. It is deleted when you close your browser.

Our website and email are hosted by Namecheap, Inc., and the servers may be located outside Japan. Where our services involve authorities or clients in other countries, such as Singapore, information may also be sent to those countries as part of the service.

We keep enquiry correspondence for up to three years after our last contact with you. We keep client records for as long as needed to provide our services and to meet our contractual, quality-management and legal record-keeping obligations. Server logs are kept for a limited period by our hosting provider.

This website is served over an encrypted HTTPS connection. We restrict access to personal information to the staff who need it for their work, and our client database is protected by individual user accounts.
